Appointment Booking Funnel

A Calendar Full Of Qualified Calls

If you sell on a call, your calendar is your pipeline. A booking funnel explains your offer, asks a few qualifying questions and lets the right people pick a time in their own time zone. Reminders go out automatically. You turn up to calls with people who already know what you do and want to talk.

The Unfair Advantage

Turn Up To Calls That Are Worth Taking

Did you know? A booking funnel has one job: fill your calendar with the right people.

If you sell on a call, your calendar is your pipeline. Every empty slot is money you did not make, and every call with the wrong person is an hour you will not get back. A booking funnel explains the offer, asks a few qualifying questions and lets the right people pick a time in their own time zone. The wrong people rule themselves out before they ever reach your calendar.

Most coaches and consultants still do this by email. Does Tuesday work? Your time or mine? Every reply is another chance for the lead to go cold. What if I tell you the whole exchange can happen in one click, with reminders sent automatically and the answers waiting in your CRM before the call starts? That is the edge, and it is not a complicated one.

Plan My Booking Funnel

Advantage #1

One Page, One Set Of Questions, One Booked Call

A homepage asks a prospect to work out what you do, decide whether they qualify, find the contact page and write an email. That is four decisions. Most people stop at the first one.

The booking funnel makes one decision for them: book the call or don’t. The page says who the call is for, what they will get out of it and why it is worth their time. The questions take a minute. The calendar shows your availability in their local time. Honestly, the simplest version of this converts better than most elaborate websites we have seen.

And because the qualifying questions come before the calendar, the people who aren’t a fit can be sent to a free resource instead. They still get something useful. You keep your time for the right calls.

Advantage #2

Follow-Up That Works While You Sleep

People book, then forget. Without reminders and something to read before the call, a good share of booked calls simply don’t happen. The funnel sends a confirmation, a reminder the day before, another an hour before, and SMS where supported, all automatically.

Between booking and the call, the prospect gets a short page or email telling them what to expect and what to prepare. They turn up ready and already warmed up. And if the call does not close, the follow-up sequence keeps the conversation going, so the ones who said “let me think about it” actually come back.

Advantage #3

Numbers You Can Actually Improve

How much does a booked call cost you? How many of them show up? How many close? Most people selling on a call cannot answer any of those, so they cannot tell whether a new ad, a new offer page or a new set of questions made things better or worse.

With booked-call tracking in place, every booking is tied back to the source that sent it. You can see that LinkedIn sends fewer calls but better ones, or that one ad fills the calendar with people who never show. Then you fix the right thing, instead of working harder at everything.

Who It's For

Built For Offers Sold On A Call

If the sale happens in a conversation, not at a checkout, this is your funnel.

  • Coaches & Consultants

Programmes and services priced high enough that people want to talk first. The funnel does the explaining so the call can do the closing.

  • Agencies & B2B Services

You want discovery calls with decision makers, not tyre-kickers. Qualifying questions sort one from the other before anyone books.

  • Experts With A Global Client Base

You book prospects across several time zones every week. The calendar does the maths, so nobody turns up an hour early or a day late.

  • Businesses Running Ads To Calls

Paid traffic needs a page built for one action. Booked calls are tracked back to the ad, so you know exactly what each one cost.

What's Included

Everything From Click To Call

One connected flow: page, questions, calendar, reminders, CRM and tracking.

  • Offer Page

A page that says who the call is for, what they will get out of it and why it is worth their time. Clear enough that the wrong people rule themselves out.

  • Qualification Form

A handful of short questions so you know who you are talking to, and what they need, before the call starts.

  • Calendar Integration

Calendly, GoHighLevel or Google Calendar booking that shows your availability in the prospect’s local time.

  • Reminders & Pre-Call Content

Email reminders, SMS where supported, and a confirmation page that tells them what to expect so they turn up ready.

  • Tracking

Booked-call conversion tracking for your ads and analytics, so you know what a call costs and which source sends the best ones.

  • Handover & Training

A recorded walkthrough so you can change your availability, the questions and the messages yourself.

Our Funnel Build Process

From Idea To Live Funnel, Step By Step

Fully remote and time zone friendly. Calls at a time that suits you, async updates in between, and one point of contact from the first call to launch.

  1. 01

    Strategy Call

The hardest part is not building the pages, it is deciding what the funnel is for. We spend the first call on your offer, your audience and the one action each step should drive. We will ask what you sell, who buys it, where your traffic comes from today and what happens after someone shows interest. If you already have copy, testimonials or an email list, we look at those too. By the end of the call you will have an agreed funnel flow and a fixed quote, and we will both know whether we are a good fit for each other.

  2. 02

    Copy & Wireframe

The structure and the message come before any design. We map out every page in plain wireframes, with the headline, the promise, the proof and the call to action in place, and polish the copy you give us using the hook, story, offer framework. You know your customers better than anyone, so your words are the best starting point, and we will tell you honestly when a headline is too vague to convert. You review the wireframes, we make the changes, and nothing gets designed until the message is right. A pretty page with the wrong message still doesn’t convert.

  3. 03

    Design & Build

At this stage your job is mostly done, and ours has just begun. We build the pages on ClickFunnels, GoHighLevel or WordPress, mobile first, and connect the forms, payments, calendars and email sequences so the whole thing works as one system. You get regular progress updates you can review on your schedule, not ours, with revision rounds to fine-tune the design. Honestly, this is the simplest step of the whole process. The hard thinking already happened in the first two.

  4. 04

    Test & Launch

Before anything goes live, we go through every step the way a customer would: opt in with a real email address, book a test call, make a test purchase and check that every email and every pixel fires. Then we launch and record a walkthrough for you and your team, so you can edit pages, swap offers and read your own numbers without waiting on anyone. We keep an eye on the first week of numbers with you. If something needs adjusting, that is normal, and it is exactly what the tracking is for.

Appointment Booking Funnel Pricing

If you’re looking for a “cheap” or a quick one-and-done booking page.

We’re probably not the best fit.

A booking funnel is only as good as the questions it asks and the offer page in front of them, and both take a few honest conversations to get right. Rush it and you get a calendar full of the wrong people, which is worse than an empty one. We would rather take the time to understand who you want to be talking to.

The following are our estimated price ranges based on similar booking funnel projects in the past. The true investment can only be confirmed once both parties understand the scope, after a short call. If you already use a scheduling tool or a CRM, tell us which one and we will quote around it.

FAQ

Frequently Asked Questions

Straight answers to the questions we hear most. If yours is not here, just ask.

Which Scheduling Tools Do You Use?
Calendly, GoHighLevel calendars, Google Calendar appointment schedules or TidyCal. If you already use one, we work with it. If you don’t, we will recommend one that fits the rest of your tools.
Will Prospects See Times In Their Own Time Zone?
Yes. The calendar detects each visitor’s time zone and shows your availability in their local time. Confirmations and reminders go out in that time zone too. We work with clients across nine countries ourselves, so this is something we take seriously.
Can I Filter Out Leads That Aren’t A Fit?
Yes. The qualifying questions can send people who aren’t a fit to a free resource instead of your calendar. They still get something useful, and you keep your time for the right calls.
How Do I Drive Traffic To It?
Paid ads, email, social and direct outreach all work. Many clients send the booking link at the end of a lead magnet funnel, once the lead has warmed up. Read our guide to LinkedIn outreach to high-value leads, or see our advertising services.
Does The Funnel Connect To My CRM?
Yes. Bookings and form answers can be pushed into GoHighLevel, HubSpot or most CRMs, directly or through Zapier. Every lead lands in your pipeline with their answers attached, so you walk into the call already knowing their situation.
How Long Does A Booking Funnel Take To Build?
Usually 2–3 weeks for Essential and 3–4 weeks for Plus, once we have your offer details and calendar access. You get a fixed quote and timeline before any work starts.

Our Guarantees

Promises We Put In Writing

We would rather work for free than see an unhappy client. These are the guarantees every project comes with.

Our Time Is Limited

A funnel build takes a significant amount of time and attention to get right, and we want to make sure each of our clients gets the attention they deserve. For that reason we only take on a handful of new projects each month. If you are remotely interested in building your funnel this quarter, we strongly suggest you contact us today to reserve a slot.
