Workflow Automation
Stop Being The Human Glue Between Your Apps
Somewhere in your week there is a job that goes: open the form, copy the name, paste it into the spreadsheet, send the email, update the board, tell the team. It is not hard. It is just yours, every time, forever. We take that job and give it to software. Zapier or Make when it is a simple hop between two tools, and n8n running on a backend you own when the workflow needs real logic, custom code and no per-task bill. Either way, you get a diagram you can read and a system you can switch off.

The Unfair Advantage
The Cheapest Hour You Will Ever Buy Back
Did you know? Most of the admin you do by hand is already possible to automate with the tools you pay for. Nobody has sat down and connected them.
Every app you use has a door for other software to knock on. Your form can announce a new lead. Your calendar can announce a booking. Your invoicing tool can announce a payment. A workflow automation simply listens for one of those announcements and does the next three things for you, in order, without being asked twice.
The reason most businesses never do it is not cost. A single workflow usually pays for itself in saved hours within a few weeks. The reason is that it feels like a developer’s job. Honestly, the hard part is deciding what to automate first. Once that is mapped on paper, building it is the simplest step, and we have done it enough times to know which tool fits which job.
Advantage #1
Zapier And Make For The Simple Hops
Zapier is the easiest way to connect two apps. New row in Google Sheets, send an email. New form entry, add a card to Trello and post in Slack. It has ready-made connections to thousands of tools, it takes minutes to set up, and you can open it and understand what it does. For the simple hops, it is exactly the right tool and we will not talk you into anything bigger.
Make is the same idea with more room for branching: if the lead is from Australia do this, if the order is over a certain amount do that. It handles longer chains with several decisions in the middle and usually costs less than Zapier once you are running a few hundred tasks a month.
The trade-off with both is the bill. You pay per task, so a workflow that fires a thousand times a month on Zapier can cost more than the time it saves. That is usually the moment we start talking about n8n.
Advantage #2
n8n On Your Own Backend When It Gets Serious
n8n is an open-source automation platform that does what Zapier and Make do, but you can run it yourself. We host it for you on a small Render server, or a similar provider, inside an account in your name. There is no per-task fee. A workflow that fires ten thousand times a month costs the same as one that fires ten.
More importantly, it lets us write custom code nodes right in the middle of a workflow. Need to reshape a messy spreadsheet, call an API that nobody has built a connector for, or apply a scoring rule your business invented? A few lines of JavaScript in a code node and it is done, with the rest of the workflow still laid out visually around it.
Can you survive on Zapier alone? Yes, plenty of businesses do. But when workflows get long, fire often or need logic a drag-and-drop tool cannot express, a self-hosted backend is the difference between a system that costs more every month and one that just runs.
Advantage #3
Everything Lands Where Your Team Already Looks
An automation is only useful if the right person finds out. So every workflow we build ends somewhere human: a line in a Google Sheet, an email to the client, a message in Slack or a Telegram alert on your phone the moment a hot lead comes in. Webhooks on the way in, notifications on the way out.
And when something breaks, because tools change their settings and forms get renamed, you hear about it from the workflow itself, not from a client asking why they never got their confirmation. Error alerts are part of every build, not an upgrade.
Who It's For
Perfect If You Want To
If you see yourself in one of these, there is a workflow we can hand to software this month.
Stop Retyping The Same Data
Form to spreadsheet to CRM to invoice, by hand, every week. One trigger and three steps later, nobody retypes anything.
Follow Up Leads The Minute They Arrive
A new enquiry gets a reply, a tag and a Telegram alert on your phone before you have finished your coffee. The competitor who replies first usually wins.
Keep A Small Team In Sync
Bookings, orders and client updates posted into Slack as they happen, so nobody asks “did anyone see that?” again.
Outgrow Your Zapier Bill
If your workflows fire thousands of times a month or need logic Zapier cannot express, self-hosted n8n on your own backend stops the bill from growing.
What's Included
A Complete Workflow, Not A Half-Finished Zap
Every workflow build includes the thinking before it and the safety net after it.
Process Audit
We map how the task actually flows through your business today, who touches it and where it stalls, then pick the one workflow that saves the most hours first.
Plain-English Workflow Diagram
Every trigger, step, decision and message on one page, approved by you before anything is connected.
Workflow Build
Built in Zapier, Make or n8n, connecting your forms, Google Sheets, email, CRM, calendar and invoicing, with webhooks where a tool has no ready-made connector.
Custom Code Nodes
When a step needs real logic, a short script inside the workflow handles it: reshaping data, calling an API, scoring a lead. Read and tested by Cylas Tee before it runs.
Slack, Telegram & Email Alerts
The right person hears about the right event as it happens, and you hear about any failure straight away.
Handover & Walkthrough
A recorded walkthrough so you can change a message, add a step or switch it off without asking anyone.
Our Workflow Build Process
From One Boring Task To One Quiet Workflow
Fully remote and time zone friendly. A short call to map the task, a diagram to approve, a demo to sign off, then it just runs.
- 01
Map The Task
We start with one question: what do you do by hand most often? Then we watch you do it, or you record a quick screen capture, and we write down every click. Which app starts it, which apps it touches, who needs to know, and what happens when the data is messy. That last part matters most, because messy data is where automations fall over. By the end you know which workflow we are building first, which tool fits it and a fixed quote. If a cheaper plugin already does it, we will say so.
- 02
Draw It Before Building It
You get a plain-English diagram of the whole workflow: the trigger, every step, every decision and every message, including what it must never do. You read it, you tell us where it does not match how your business actually works, and we fix the diagram. Changing a box takes minutes. Changing a live workflow that has already emailed your clients takes a lot longer.
- 03
Build And Demo
We build inside your own Zapier, Make or n8n account, and if n8n is the right fit we set it up on a Render server in your name first. Then we run it on real scenarios on purpose: the form with a missing phone number, the duplicate lead, the order with a strange currency. You watch a recorded demo of the real thing, not a slide about it, and we adjust until you would trust it with a client. Honestly, this is the simplest step. The thinking already happened.
- 04
Switch On And Watch
Error alerts get pointed at you, the walkthrough gets recorded, and the workflow goes live. We leave it running for a couple of weeks of real use, then check what the data shows, because real customers always find a case the tests did not. After that you run it yourself, since it all lives in your accounts, or keep us on and we keep it monitored and growing, quoted monthly.
Workflow Automation Pricing
Scoped First, Quoted Once
Every workflow is custom, because every business does the same task a slightly different way. So we scope the work first and give you a fixed quote before anything is built.
A five-minute zap is easy, and if that is all you need, you can build it yourself. What you cannot build in five minutes is a workflow that handles the missing phone number, the duplicate lead and the renamed form field without emailing the wrong client.
That takes a proper look at how your business works, and a quote that is based on your workflow rather than a menu. The way in is a short call or the free website audit. Tell us which task eats your week, and you will have a fixed price in writing before anything starts.
