CRM & Sales Pipeline Integration

Every Lead In One Pipeline, Followed Up Before You Finish Your Coffee

Honestly, this is the simplest fix with the biggest payoff in most businesses we look at. Leads arrive from the website form, the Meta ad, the booking page and a DM, and they go into four different places, if they go anywhere at all. We connect every one of those sources to your CRM, whether that is Close, HubSpot or Pipedrive, so each lead lands once, in the right stage, tagged by where it came from, with a follow-up sequence already running and a Telegram or Slack alert on your phone when it is one worth calling now.

The Unfair Advantage

The Fastest Reply Usually Wins The Lead

Did you know? A lead that gets a reply in the first few minutes is still warm. The same lead the next morning has usually asked two of your competitors.

You already pay for a CRM, or you are about to. The trouble is that a CRM is only as good as what gets into it, and most of what should get in is typed by hand, late, or not at all. The form entry sits in an inbox. The ad lead sits in Meta. The booking sits in the calendar. Nobody sees the whole picture, so follow-up depends on whoever remembers.

Connecting the sources to the pipeline fixes that in one move. Every lead lands once, the first reply goes out within a minute, the sequence keeps going for the ones who go quiet, and the hot ones ping your phone. You did not hire anyone. You just stopped losing the leads you already paid for.

Connect My CRM

Advantage #1

Every Source, One Pipeline

Website forms, Meta and Google lead forms, your booking page, a landing page from a funnel, even a Telegram message. Each one becomes a contact in your CRM with the source written on it, so a month from now you can see which channel actually produced the clients, not just the enquiries.

Deduplication is part of it. The lead who fills in the form twice and then books a call is one person, not three records. We match on email and phone, merge what should be merged and keep the history in one place.

Can you survive with leads in four places? Yes, for a while. But the first time you find a three-week-old enquiry you never saw, you will know what it is costing you.

Advantage #2

Follow-Up That Does Not Depend On Memory

Each deal stage can trigger something. New lead: a reply within a minute and a task for whoever owns it. No answer in two days: a second email. Call booked: a reminder the day before and a no-show follow-up if they miss it. Proposal sent: a nudge a week later. None of it needs anyone to remember, and all of it is written in your voice.

Your email and calendar sync into the same record, so when you do pick up the phone, the whole history is on one screen: the ad they clicked, the pages they read, the emails that went out and the call they booked. No more “remind me what we talked about?”

Advantage #3

Hot Leads Ping Your Phone, Everything Else Waits

Not every lead deserves a drop-everything call, but some do. We set simple rules, such as budget above a line, a particular service, a booked call, a reply to the sequence, and when a lead hits one, you or your team get a Telegram or Slack message with the name, the source and a link straight to the record.

What if I tell you that is usually the single change clients notice first? Not the dashboards, not the sequences. The buzz in their pocket that says someone good just came in, and the call they make while the lead is still thinking about them.

Who It's For

Perfect If You

If leads arrive from more than one place and follow-up depends on someone remembering, this is for you.

  • Run Ads And Lose Track Of The Leads

Meta and Google lead forms land in the CRM within a minute, tagged by campaign, with the first reply already sent. You finally see which ads produce clients, not just clicks.

  • Sell On Calls

Booked calls, reminders, no-show follow-ups and post-call nudges handled by the pipeline, so you walk into every call with the full history on one screen.

  • Have A Small Sales Team

Leads assigned by rule, hot ones pinging the right person on Telegram or Slack, and a dashboard that shows who is following up and who is not.

  • Are Switching CRMs

Moving from a spreadsheet, or from one CRM to another, with the contacts cleaned, deduplicated and the sources connected on day one.

What's Included

A Connected Pipeline, Not Just A CRM Login

Everything between the first click and the first call, built and connected for you.

  • Sales Process Mapping

How a lead becomes a client in your business today, stage by stage, and where it stalls. We design the pipeline around how you actually sell.

  • Lead Capture From Every Source

Website forms, Meta and Google lead forms, booking pages, landing pages and chat, all into Close, HubSpot or Pipedrive with the source tagged.

  • Deal Stages & Routing

Stages that match your process, leads assigned by rule, and duplicates matched on email and phone and merged automatically.

  • Follow-Up Sequences

Replies, reminders and nudges triggered by stage, written in your voice and switched off the moment the lead responds.

  • Telegram & Slack Hot-Lead Alerts

Simple rules for what counts as hot, and an instant message with the name, source and a link to the record when one arrives.

  • Sync, Dashboards & Walkthrough

Email and calendar synced into every record, a dashboard of leads by source and deals by stage, and a recorded walkthrough so you can change it yourself.

Our CRM Integration Process

From Scattered Leads To One Pipeline

A short call to map how you sell, a pipeline design to approve, test leads through every source, then it runs. Fully remote, calls in your time zone.

  1. 01

    Map How You Sell

We start with a short call and one question: what happens between someone showing interest and someone paying you? You walk us through it, we write down every stage, every message that should go out and every place a lead can currently fall through. We look at where your leads come from today and which CRM you have, or help you choose one if you are starting fresh. By the end you have an agreed pipeline design and a fixed quote, and we both know whether we are a good fit.

  2. 02

    Design The Pipeline On Paper

Before we touch the CRM, you see the whole thing on one page: the sources, the stages, what triggers each follow-up, who gets alerted and when, and the rules for merging duplicates. You read it and tell us where it does not match how you actually sell. We rewrite the sequence emails with you, in your voice, so a lead cannot tell which ones were sent by a person. Fixing a box on a diagram takes minutes. Fixing a sequence that already emailed fifty leads takes a lot longer.

  3. 03

    Connect, Then Send Test Leads

We set up the stages, the sequences and the alerts inside your CRM, connect every source through webhooks and a Make or n8n workflow, and sync your email and calendar. Then we send test leads through every single door on purpose: the form, the ad, the booking page, the duplicate who fills in two forms. You watch a recorded demo of each one landing where it should, with the alert on your phone. Honestly, this is the simplest step. The hard thinking already happened.

  4. 04

Go Live And Read The Numbers

The pipeline switches on with error alerts pointed at you, the walkthrough is recorded and your team gets a short session on where things are. We leave it running for a few weeks and then look at the dashboard with you, because the first month of real leads always shows a stage that needs adjusting or a sequence that needs a shorter gap. After that you run it yourself, or keep us on and we keep tuning it as you grow, quoted monthly.

CRM & Sales Pipeline Integration Pricing

Mapped First, Quoted Once

Every pipeline is custom, because every business sells a little differently and has its leads coming from different places. So we map how you sell first and give you a fixed quote before anything is connected.

And to be honest, a CRM with no sources connected and no sequences written is a very expensive spreadsheet. The value is not in the login. It is in every lead landing once, the first reply going out within a minute and the hot ones reaching your phone.

That takes a proper look at how you sell, a design you approve and test leads through every door before a real one arrives, and the price depends on how many sources, stages and sequences that turns out to be. The way in is a short call or the free website audit. Tell us where your leads come from, and you will have a fixed price in writing before anything starts.

FAQ

Frequently Asked Questions

Straight answers to the questions we hear most. If yours is not here, just ask.

Which CRMs Do You Work With?
Close, HubSpot and Pipedrive most often, plus GoHighLevel if you are already on it. Close suits teams that sell on the phone. HubSpot suits businesses with content, email marketing and a longer sales cycle. Pipedrive is the simplest visual pipeline for a small team. If you use something else with an API, the mapping call confirms it can be connected before you commit.
I Do Not Have A CRM Yet. Can You Help Me Choose?
Yes, and we will not pick the one that pays a commission. On the mapping call we look at how you sell, how many leads you handle and who on your team needs to see them, then recommend one and tell you why. Most small businesses are well served by the entry plan of whichever we suggest.
Which Lead Sources Can You Connect?
Website forms on WordPress, Elementor and most form builders, Meta and Google lead forms, booking pages such as Calendly, landing pages from your funnels, Stripe payments, email enquiries and the AI assistant on your site if you have one. Anything with a webhook or an API, which today is almost everything.
What Happens To Duplicate Leads?
We match on email and phone number, so the person who fills in two forms and then books a call is one record with the full history, not three. Existing data can be cleaned and deduplicated as part of the Full Sales Stack Integration before the new sources are switched on.
Do You Write The Follow-Up Emails?
We structure the sequence and write the first draft with you, in your voice, because you know your customers better than anyone. You approve every message before it goes live, and every sequence stops the moment the lead replies, so nobody gets a “just checking in” after they already answered.
How Do The Hot-Lead Alerts Work?
We agree simple rules for what counts as hot: a budget above a line, a particular service, a booked call, a reply to the sequence. When a lead hits one, you or the assigned person gets a Telegram or Slack message with the name, the source and a link straight to the record. Everything else stays in the pipeline and waits its turn.
How Long Does It Take?
A pipeline setup with your main sources connected is typically live in 2–3 weeks. A full sales stack integration with every source, multiple sequences, deduplication and a dashboard typically takes 3–5 weeks. The slowest part is usually writing and approving the follow-up messages, which is why we start them in the design step.
Do You Work With Clients Outside Your Time Zone?
Yes. Cylas Tee runs a fully remote business with clients in Australia, the USA, the UK, Canada, Singapore, Malaysia, Switzerland, Russia and Hong Kong. Calls are scheduled at a time that suits you and most updates are async, so the build keeps moving while you sleep. Automations, conveniently, do the same.
